Turning one event into a scalable multi-meeting oncology platform

MCI Germany transformed a single healthcare professional event into a fully integrated engagement platform for a global oncology portfolio. By introducing a modular digital branding system and advising the client to combine external and internal meetings, three high-impact events for two products were delivered consecutively in one venue, creating a more efficient, sustainable and scalable approach to therapeutic area engagement.

The challenge

How do you unlock more value from the same event infrastructure?

A global healthcare company had initially planned a standalone external meeting for healthcare professionals (HCPs) in the prostate cancer therapeutic area. At this time, internal budgets for global and early launch meetings were increasingly constrained. 

This created a structural challenge:
• external events were funded and prioritised
• internal strategic meetings struggled to secure budget and visibility

MCI Germany noticed a clear opportunity that was not obvious to our client: to move from isolated events to a connected platform, without increasing complexity, cost or compliance risk.
 

The solution

From standalone event to integrated platform

MCI Germany reframed the project from event delivery to strategic advisory and experience architecture. The solution was built on three pillars:

1. Strategic consolidation
MCI proactively recommended linking three meetings into one continuous format:

  • an external HCP standalone
  • an internal early launch meeting
  • a global brand meeting

This advisory approach enabled the client to unlock additional budget and strategic alignment, turning separate needs into one coherent programme.

2. Digital-first branding infrastructure
A modular digital branding system replaced traditional print, allowing the entire environment – from plenary to breakout spaces – to be re-skinned within hours for each meeting. This created a single physical space that could flex seamlessly between:

  • external vs. internal audiences
  • commercial vs. medical narratives
  • different product identities


3. Efficiency through flexibility
The approach reduced operational friction while increasing strategic value:

  • longer lead times for content validation and approval
  • reduced print production and waste
  • streamlined delivery across all three meetings

The result was a system where one setup enabled multiple distinct experiences without compromise.
 

The results
