THE CHALLENGE

Growing attendance, industry support and programme relevance

The Asia-Pacific Association for International Education (APAIE) is committed to promoting the value of international education within the Asia-Pacific region and enabling greater cooperation between institutions. APAIE 2026 needed to achieve a minimum of 2,000 registrations, with an aspirational target of 2,800. It also needed to secure strong industry support through sponsorship and exhibition sales, while encouraging greater representation of Emerging Scholars, including doctoral candidates and early career researchers, in the conference programme. The event also set out to create an inspiring and memorable attendee experience, with local culture clearly reflected throughout.

THE SOLUTION

Engaging a global audience, delivering value for sponsors and innovating in the exhibit hall

MCI Australia delivered APAIE 2026 in Hong Kong as a full-scope project management programme built around connection, collaboration and visibility. The exhibition was shaped as a marketplace for global exchange, supporting one of the largest and most diverse exhibition environments in APAIE history. To strengthen sponsor value within the attendee journey, APAIE 2026 launched the new APAIE Theatre, offering sponsored speaking sessions within the exhibition hall. The wider event experience also brought Hong Kong culture into the programme through the opening ceremony, welcome reception, wellness activities, local food moments and post-conference campus tours.

FAQs: How to grow association conference attendance, sponsorship and exhibitor value

Answers to common association event challenges, from conference growth and exhibitor strategy to sponsor value, delegate engagement and event experience design.

Q: How can an association grow conference attendance without losing sight of audience quality?
A: Growth usually comes from a clearer event proposition, a stronger delegate journey and a conference experience that feels relevant to different audience groups. In the APAIE 2026 case, the event exceeded its attendance targets while also expanding regional diversity and global reach, showing how growth and audience relevance can move together. MCI’s PCO, Conferences & Trade Show Management services include event design, programme delivery, registration and attendee engagement to help associations grow with purpose.

Q: How can associations create more value for sponsors and exhibitors?
A: Sponsors and exhibitors respond to visibility, relevance and measurable opportunities to connect with delegates. APAIE 2026 introduced the APAIE Theatre within the exhibition hall, creating sponsored speaking opportunities as part of the attendee journey. Our sales and revenue offer is built around sponsorship and partnership development, trade show and exhibition sales and longer-term partner value propositions rather than one-off transactions.

Q: What helps an association exhibition perform more strongly?
A: A stronger exhibition needs a clear value proposition for exhibitors, thoughtful traffic and content planning and a commercial strategy that supports revenue and engagement at the same time. In APAIE 2026, this approach contributed to 600+ exhibiting organisations and 129% of the exhibition target achieved..

Q: How can associations design a conference that reflects the host destination in a meaningful way?
A: Local relevance can strengthen the delegate experience and make the event feel more distinctive and memorable. In Hong Kong, APAIE 2026 brought local culture into the programme through the opening ceremony, welcome reception, wellness activities, food moments and campus tours. MCI’s association event services include consulting and advisory, communications, marketing and advocacy and tailored solutions that help organisations shape experiences around their goals and context.

Q: How can associations build a conference model that supports long-term growth?
A: Long-term growth tends to come from a deliberate strategy across attendance, sponsorship, exhibitions, partner value and operational systems. We help our clients develop a targeted mid- to long-term revenue strategy that looks beyond transactional sponsorship and focuses on annual partner value proposition and ROI. Whether you are looking for sponsorship or expo sales for your events, want to engage industry partners in year-round meaningful involvement or aim to increase revenues from other products and programmes, our full-service approach to every relationship will deliver a strategic process to develop and grow your association’s revenue streams.
