After the main IATA event, our client hosted an exclusive reception dinner for senior leaders of the global aviation community who had gathered in New Delhi for the 81st IATA Annual General Meeting. MCI India designed and delivered a sensory-led experience for approximately 1,000 CEOs, CFOs, government dignitaries and aviation industry stakeholders. Through immersive regional zones, authentic craft, purposeful installations and executive-level hospitality, the evening positioned the client as a thoughtful global host with a strong commitment to India and the future of aviation.

THE CHALLENGE

Creating meaning at a global aviation forum


Our client needed more than a premium dinner. The brief called for a meaningful hospitality experience that would support relationship-building, reflect their growing presence in India and communicate long-term commitment to education, empowerment, sustainability and aviation’s future. 

The event faced major delivery pressures. A key ground-floor venue area was secured by a competitor, forcing a late move to the first floor and a full redesign of layouts, guest flow, production planning and sightlines. Last-minute security protocols linked to the Prime Minister of India’s attendance froze movement around the venue for over four hours, compressing installation timelines. Authentic artefacts, regional crafts and delicate installations also had to be sourced, transported and assembled with precision.

THE SOLUTION

Translating India through refined experience design

MCI’s creative strategy was guided by one question: how does India feel when translated for a global audience of aviation leaders? The answer was a refined, contemporary environment that carried an unmistakable Indian essence through atmosphere, texture, sound, architecture and craftsmanship. 

The pre-function area introduced the story through architectural arches inspired by the Gateway of India, creating a sense of arrival and global connection. The main venue became a continuous cultural journey across four immersive regional zones, from North to South and East to West, using authentic materials and sourced craft. Kathakali artists were flown in from South India, while lighting, sound and spatial planning were carefully balanced to support conversation. 

Two key installations anchored the experience. Sukanya, a sculptural artwork made entirely from recycled paper planes, formed the silhouette of a young girl before transforming visually into the brand aircraft, linking education, empowerment, sustainability and flight. A 15-foot Hawa Mahal bar became the social heart of the evening, reimagining the Palace of Winds as a functional architectural centrepiece connected to aviation through wind, airflow and movement. 

THE RESULTS

The reception became one of the most distinctive hospitality engagements at the 81st IATA AGM. Guests explored the environment rather than simply attending it, moving through regional zones that encouraged discovery, conversation and extended dwell time. 

The Hawa Mahal bar became the most photographed and discussed element of the evening, while the Sukanya installation added emotional depth and purpose-led storytelling. Authentic regional craft, live performance and carefully curated hospitality helped reframe India as contemporary, refined and globally confident.
