Growing AusRAIL into an experience-led exhibition platform

AusRAIL and AusRAIL PLUS are owned by the Australasian Railway Association (ARA) and operate as the national conference and exhibition for the rail industry in Australia and New Zealand. As major moments in the ARA member journey, the events bring together members, sponsors, exhibitors and delegates in one shared industry platform. Since 2022, the exhibition has grown significantly in footprint and exhibitor participation, with AusRAIL PLUS 2025 drawing 250 exhibitors and 6,624 sqm. Working closely with ARA, MCI helped shape an experience-led approach focused on member value, stronger exhibitor support, pre-event amplification, clearer wayfinding and a more engaging environment for the rail community.

THE CHALLENGE

How do you turn an exhibition into an experience-led industry platform?

AusRAIL needed to move beyond a traditional exhibition model and create a floorplan that encouraged people to stay, connect and engage. The challenge was to support commercial growth while improving the experience for exhibitors and delegates. As a trade association event, AusRAIL also needed to create stronger value for the rail sector, with many ARA members participating as sponsors, exhibitors, delegates and industry contributors. The exhibition therefore had to work as a major moment in the member journey, with an experience that felt easy to navigate, more rewarding for exhibitors and more useful for attendees.

THE SOLUTION

Design for dwell, experience and growth

To mirror ARA’s focus on increasing member value, MCI Australia worked closely with the association to co-design a more layered exhibition experience. Together, the teams introduced more networking spaces, working areas, lounges, catering areas and daily activations to draw traffic across the show floor and give delegates more reasons to stay. The experience was also supported by the AusRAIL PLUS 2025 event app, developed by MCI Australia, which connected delegates with event information, meetings and exhibition technologies. Exhibitor support was strengthened so members, sponsors and commercial partners could focus on creating more engaging booth experiences. Pre-event amplification also helped promote exhibitor initiatives before delegates arrived onsite, turning the exhibition into a stronger catalyst for participation, visibility and year-round industry connection. Registration insights and onsite analytics were used to monitor attendance patterns, delegate behaviour and year-on-year exhibition performance.

THE RESULTS

Stronger investment and participation

The partnership approach has supported substantial exhibition growth since 2022, with exhibitors responding through larger stands, more creative booth activations and greater investment in their brand presence. AusRAIL PLUS 2025 drew 250 exhibitors and reached 6,624 sqm, compared with 88 exhibitors and 1,605 sqm in 2022. Experience-led features have also expanded, from delegate working zones and exhibition theatres to headshot studios, lounges, a podcast studio and the AusRAIL library. Future editions continue to build on this approach through member-only spaces, a First Nations pod and more data-led planning.

AusRAIL 2026 is following on from the success of previous years with points of interest throughout the exhibition halls. This year we are introducing a delegate-only lounge, offering a more premium experience for conference delegates (and a meaningful area for sponsor engagement and activation as this is a sponsored space). At the time of writing, five months before the event, exhibition space was almost sold out, with less than 4% of space available in an already expanded footprint.
