Driving increased participation and a 32% ROI for ACEM Annual Scientific Meeting 2024

By focusing on immersive experiences, financial sustainability and digital transformation, the 2024 ACEM Annual Scientific Meeting (ASM) set a new benchmark for emergency medicine education and generated a significant return on investment.  

THE CHALLENGE

Rebuilding ACEM ASM’s reputation and delegate experience

The ACEM Annual Scientific Meeting (ASM) faced the challenge of regaining its pre-pandemic stature, enhancing delegate experience and increasing engagement. The 2023 event, being the first ASM since the pandemic, had faced lower attendance due to ongoing reluctance among some members to return to in-person events, leading to a need for a revitalised approach that prioritised innovation and financial sustainability.

THE SOLUTION

Transforming the experience through creativity and strategic planning

MCI Australia again partnered with ACEM and the Local Organising Committee (LOC) to redefine the event’s structure and engagement approach. The planning process began with a dedicated Event Design strategy workshop, bringing together key stakeholders to define critical objectives and measurable outcomes. 

A reimagined delegate experience was central to the strategy, incorporating gamified networking zones, a Monopoly Scavenger Hunt and interactive social functions that fostered participation. A Challenge Zone featuring daily activities, reaction timers and board games facilitated organic connections between delegates and exhibitors. The event app further enhanced engagement, with attendees earning points through interactive features and leaderboards. 

Innovative programme design played a crucial role in elevating the experience. Fireside Chats allowed informal conversations between keynote speakers and delegates, while content sessions hosted on floating buoys on Adelaide’s River Torrens provided a novel learning environment. A carefully curated social programme included networking receptions, themed dinners and off-site experiences showcasing the city’s cultural offerings. 

Sustainability was a core focus, with the event achieving a fully paperless execution. Digital signage replaced printed materials, and attendee name badges were biodegradable. All suppliers were required to comply with a strict sustainability code. 

A robust project management framework, including a 600-line-item budget and a detailed critical timeline, ensured transparency, risk mitigation and accountability. Regular planning meetings, scenario forecasting and milestone reviews contributed to the seamless execution of the event. 

THE RESULTS

Record-breaking engagement and financial success

The 2024 ASM attracted 1,093 delegates, exceeding the initial target of 900. It achieved a 32% ROI, surpassing the break-even financial goal, and generated an estimated €3-million (AUS$5-million) economic impact for the host city. Delegates engaged with the event app at an unprecedented level, with 126,994 page views and more than 5.5 million points earned through interactive challenges. The event also reinforced ACEM’s commitment to sustainability. Post-event surveys indicated that 92% of respondents would recommend the event to peers.
